We retain personal information for as long as necessary to provide the Service, comply with legal obligations, resolve disputes, and enforce agreements. PHI retention is governed by the applicable BAA and Customer instructions.
We use administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit and at rest, access controls, audit logging, and personnel training. No method of transmission or storage is 100% secure; we cannot guarantee absolute security.

These Terms of Service ("Terms") govern access to and use of the website, services, and software offered by The Schedule Squad AI ("Schedule Squad," "we," "us," or "our"). By accessing or using the Service, you agree to be bound by these Terms.
You must be at least 18 years old and authorized to act on behalf of the entity you represent. You are responsible for maintaining the confidentiality of your account credentials and for all activity under your account.
Schedule Squad provides human-driven scheduling, recall, treatment-plan-recovery, and live call coverage services, supported by voice AI and text AI. Services are delivered on a month-to-month basis as further described in the applicable order form, proposal, or service agreement.
Fees are billed monthly in advance unless otherwise stated in the order form. A one-time startup fee of $397 applies to all new customer engagements. Additional voice AI minutes used beyond the monthly allowance are billed at $0.80 per minute. Late payments may accrue interest at 1.5% per month or the maximum rate permitted by law, whichever is lower. Schedule Squad reserves the right to suspend the Service for accounts more than 30 days past due.
The Service is provided on a month-to-month basis with no long-term contract. Either party may terminate by providing thirty (30) days' written notice. Either party may terminate immediately for an uncured material breach. Fees paid are non-refundable except in the case of a material uncured breach by Schedule Squad.
You will not (a) use the Service for unlawful purposes; (b) attempt to bypass security controls; (c) reverse engineer the Service; (d) resell, sublicense, or transfer access without written consent; or (e) use the Service to harass, mislead, or harm any individual.
Each party will protect the other party's non-public business information and use it only as necessary to perform under these Terms. Confidentiality obligations survive termination for a period of three (3) years.
To the extent Schedule Squad processes PHI on behalf of a Customer, the parties will execute a Business Associate Agreement ("BAA") that governs that processing. The BAA controls in case of a conflict between these Terms and the BAA with respect to PHI.
Schedule Squad retains all right, title, and interest in the Service, including all software, scripts, AI models, and supporting materials. Customer retains ownership of its data. Customer grants Schedule Squad a limited license to use Customer data solely to provide the Service.
The Service uses voice AI and text AI to support outreach. While Schedule Squad takes reasonable steps to maintain quality and human oversight, AI-generated outputs may contain errors. Customers should review reporting and patient communications and notify Schedule Squad of any inaccuracies. The Service is not a substitute for professional clinical judgment.
EXCEPT AS EXPRESSLY STATED, THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE." TO THE FULLEST EXTENT PERMITTED BY LAW, SCHEDULE SQUAD DISCLAIMS ALL WARRANTIES, EXPRESS OR IMPLIED, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT.
TO THE FULLEST EXTENT PERMITTED BY LAW, SCHEDULE SQUAD'S AGGREGATE LIABILITY ARISING OUT OF OR RELATED TO THESE TERMS WILL NOT EXCEED THE FEES PAID BY CUSTOMER TO SCHEDULE SQUAD IN THE TWELVE (12) MONTHS PRECEDING THE EVENT GIVING RISE TO THE CLAIM. NEITHER PARTY WILL BE LIABLE FOR INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES.
Each party will indemnify and defend the other against third-party claims arising from its breach of these Terms or violation of law, subject to [INDEMNIFICATION_LIMITS].

The Schedule Squad AI ("Schedule Squad") is committed to protecting the confidentiality, integrity, and availability of Protected Health Information ("PHI") created, received, maintained, or transmitted on behalf of our Customers. This page summarizes our HIPAA posture for prospective Customers.
When Schedule Squad processes PHI on behalf of a covered entity Customer, Schedule Squad acts as a HIPAA Business Associate. We execute a Business Associate Agreement ("BAA") with each Customer before any PHI is shared. The BAA governs permitted uses, safeguards, breach notification, and termination.
In the event of a breach of unsecured PHI, Schedule Squad will notify affected Customers without unreasonable delay, and in any event within the timeframes required by the BAA and HIPAA. Schedule Squad will provide information sufficient to enable the Customer to satisfy its own breach notification obligations.
Schedule Squad uses subcontractors (including cloud, telephony, and AI infrastructure providers) that may handle PHI. We require each PHI-handling subcontractor to execute a downstream BAA with terms substantially similar to those in our BAA with the Customer.
Schedule Squad uses AI/ML models to support voice and text outreach. PHI processed by these models is subject to the same BAA terms and safeguards as other PHI we handle. Schedule Squad does not use Customer PHI to train public or general-purpose AI models.
Patients should direct HIPAA rights requests (access, amendment, accounting of disclosures, restrictions) to their dental practice (the covered entity), not to Schedule Squad. Schedule Squad will support the Customer in fulfilling these requests as required by the BAA.

Security is foundational to The Schedule Squad AI. We protect Customer data and Protected Health Information ("PHI") with administrative, technical, and physical controls designed for healthcare environments.
Customer data is encrypted in transit (TLS 1.2+) and at rest (AES-256 or equivalent). Production secrets are managed in a hardened secrets manager. Backups are encrypted and tested regularly.
SDLC includes peer review, automated security testing, dependency scanning, and pre-production review of changes affecting authentication, authorization, or PHI handling. We perform periodic penetration testing by qualified third parties and remediate findings on documented timelines.
Hosted on cloud infrastructure with SOC 2 / ISO 27001 attestations. Production environments are isolated from development and test environments. Network controls include firewalls, private networking, and intrusion detection.
Least-privilege access to production systems. Multi-factor authentication required for administrative access. Access reviews conducted on a documented cadence. All production access is logged.
Logging and review of AI-generated outputs that affect customer outcomes. Human-in-the-loop checkpoints for actions where misclassification could cause material harm to a patient or practice.
Background checks for personnel with access to production systems or PHI, where permitted by law. Mandatory security and HIPAA training at hire and annually. Documented incident response procedures with on-call rotation.
Schedule Squad maintains an incident response plan covering detection, triage, containment, eradication, recovery, and post-incident review. In the event of a breach of unsecured PHI, Schedule Squad will notify affected Customers within the timeframes required by the BAA and HIPAA.
